At quotation stage, STT needs enough information to recommend a realistic service and vehicle category. At confirmation stage, the agency should add final hotels, flights, passenger contacts, luggage and the current itinerary revision. Keeping these stages distinct avoids treating an early planning assumption as an operating instruction.
For multi-city groups, series and MICE files, one reference and one approved movement document should control the work. Guest-facing signs or communication can follow the agreed partner process, while route, capacity, waiting and change responsibilities remain explicit between both teams.
